This notice describes information processing by Sam Buffet, the finance workflow integration and connection pages used by Cargobot, Inc. ("Cargobot"). Cargobot determines the business purposes for the integration. FortIA provides technical implementation and support. Privacy questions and requests can be sent to sam@cargobot.io.
Depending on the task, Sam processes:
QuickBooks authorization occurs with Intuit. Sam does not ask for or store your QuickBooks account password.
Information is used to reconcile accounting records, prepare accounts receivable statements for staff review, propose payment matches and operate or troubleshoot Sam. Sam is not operated as an advertising or data resale service.
Sam uses Hermes software to send staff requests and summaries of results to language models through OpenRouter. The application tools process accounting data separately and return only counts, totals and file references to the model. They do not send customer names, contact details or transaction rows to the model. Text that staff write in a request is sent as written. Provider processing and retention depend on the applicable service terms and settings.
Information is available to authorized Cargobot personnel and technical support personnel as needed to operate the integration. Relevant information also passes through the services used for a task: Intuit for QuickBooks access, Amazon Web Services for hosting, Google for spreadsheets and working files, the configured Mattermost service for staff requests, and OpenRouter and its model providers for the interpretation described above. These providers handle information under their own terms and may process it in other countries. Sam does not publish accounting records on this website.
Sam keeps working files only for a short operational period, and keeps private operational records so staff can trace its activity. Records also remain in the connected Cargobot systems under Cargobot business recordkeeping and applicable legal obligations.
Revoking the QuickBooks connection stops future authorized access but does not automatically delete information already stored in connected systems. To request access, correction or deletion of information, contact sam@cargobot.io. Cargobot may need to verify your identity and authority and review records it must retain before carrying out a request.
Sam separates connection credentials from its source code and uses access controls. Its service connections use HTTPS. These measures do not guarantee that unauthorized access or service failures cannot occur. Report a suspected exposure to sam@cargobot.io.
